Common Fire – Terms & Conditions of Service

Thank you for choosing Common Fire.
We believe great hospitality starts long before the first course is served. These Terms & Conditions are here to ensure every booking runs as smoothly as possible for both you and our team. If you have any questions, we're always happy to help.
1. Booking & Deposits
· To secure your chosen date, we ask for an initial booking deposit of 50% of the total booking value. This allows us to reserve our availability exclusively for your event and begin planning your experience.
· Your booking is confirmed once we have received your booking deposit and sent written confirmation.
· Your booking deposit reserves our availability exclusively for your event and becomes non-refundable once your booking is confirmed, subject to the Rescheduling and Cancellation Policy below.
· Quotations remain valid for 14 days unless otherwise stated.
· All bookings are subject to availability.
2. Payment Terms
· The remaining balance is due no later than 7 days before your event.
· Bookings made within 7 days of the event require full payment when confirmed.
· Any additional services or agreed changes requested after your final invoice may be charged separately.
· If payment has not been received by the due date, we may be unable to proceed with your booking. In this situation the booking deposit will remain non-refundable.
3. Guest Numbers
· Please confirm your final guest numbers at least 7 days before your event.
· Once confirmed, guest numbers cannot normally be reduced for pricing purposes.
· If you would like to add guests, we'll always do our best to accommodate your request, subject to availability.
4. Menu Changes
· Every menu is created especially for your event.
· Small menu changes can usually be accommodated up to 14 days before your event, subject to ingredient availability.
· Occasionally we may substitute an ingredient with one of equal or higher quality due to seasonal or supplier availability.
5. Additional Services
We are pleased to offer a range of optional extras to help make your event even more special.
· Wine pairing recommendations
· Professional waiting staff
· Additional chefs
· Celebration cakes
· Table styling and décor
· Crockery, cutlery and glassware hire
· Linen hire
· Floral arrangements
· Venue sourcing assistance
· Equipment hire
· Bespoke menu development
6. Travel
Travel within our standard service area is included in your quotation unless otherwise stated. Events outside this area may require additional travel, parking or accommodation costs. Any such costs will always be discussed and agreed with you before your booking is confirmed.
7. Rescheduling
We understand that plans sometimes change.
· More than 30 days before your event, we will normally be happy to move your booking to another available date.
· Requests within 30 days will always be considered individually and we will do our best to help.
· Any new date is confirmed once we have sent written confirmation.
8. Cancellation Policy
If you need to cancel
More than 30 days before your event
Your booking deposit reserves our time exclusively for your event and allows us to begin planning your experience. For this reason, it is normally non-refundable.
However, if your plans change, subject to availability, we will happily transfer your booking deposit once to another available date within six (6) months of your original booking.
If we are able to rebook your original event date, we may, at our discretion, offer a full or partial refund of your booking deposit, less any reasonable costs already incurred.
If we cannot agree a suitable alternative date, no further payment will be required and the booking deposit will remain non-refundable.
Between 7 and 30 days before your event
Your booking deposit remains non-refundable.
Any reasonable costs already committed, such as specialist ingredients, third-party purchases, equipment hire or venue-related expenses, may also be charged.
Within 7 days of your event
As your final balance is due 7 days before your event, cancellations made within this period will not normally entitle you to a refund of any payments already made.
If the final balance has not been received by the due date, Common Fire reserves the right to cancel the booking and no obligation to provide the agreed services will arise until all outstanding amounts have been paid in full.
If Common Fire needs to cancel
In the unlikely event that we cannot fulfil your booking due to illness or circumstances beyond our control, we will offer an alternative date where possible, help arrange a suitable replacement chef (with your agreement), or provide a full refund of any payments received.
9. Allergies & Dietary Requirements
· Please let us know about any allergies or dietary requirements before your final menu is confirmed.
· We will always do our best to accommodate dietary needs.
· While we take great care, we cannot guarantee an entirely allergen-free environment.
10. Preparing for Your Event
To help us deliver the best possible experience, we kindly ask that you provide:
· Safe and easy access to the property.
· A clean and functional kitchen unless otherwise agreed.
· Running water, electricity and suitable workspace.
· Accurate guest numbers and dietary information.
If we provide hired equipment, we simply ask that it is treated with reasonable care throughout the event.
11. Our Commitment
· Deliver restaurant-quality food and service.
· Arrive in good time to prepare for your event.
· Maintain the highest standards of food safety and hygiene.
· Hold appropriate Public Liability Insurance.
· Leave your kitchen and working areas clean and tidy.
· Treat your home and guests with professionalism and respect.
12. Photography
We may occasionally photograph dishes or table settings for use on our website or social media. We will never publish identifiable photographs of guests without permission. If you would prefer no photographs to be taken, simply let us know.
13. Force Majeure
Neither party shall be responsible for delays or cancellations caused by circumstances beyond reasonable control, such as severe weather, transport disruption, serious illness or government restrictions. Where possible, we will work together to find a suitable alternative.
14. Liability
Nothing in these Terms & Conditions limits any liability that cannot legally be excluded under the laws of Scotland. Our liability relating to any booking will not exceed the total amount paid for the event.
15. Privacy
We respect your privacy and handle your personal information in accordance with our Privacy Policy. Your information will only be used to manage your booking, communicate with you and provide our services.
16. Governing Law
These Terms & Conditions are governed by the laws of Scotland and any disputes shall be subject to the jurisdiction of the Scottish courts.
A Final Note
Our goal is always to provide an exceptional dining experience from your first enquiry through to the last course. If something unexpected happens before your event, please get in touch as soon as possible. Wherever we can, we'll always do our best to find a fair and practical solution.
